Who we are
This website is run by Port60 Review Charity. We are the organisation responsible for your information. You can write to us about anything in this policy through the contact details on this website.
What we collect, and why
- When you contact us: your name, your contact details and what you tell us, so that we can reply.
- When you create an account on this website: your name, your email address and your sign-in details, so that you can sign in and see what you have done with us.
- When you donate: your name, your contact details, the amount and the date, so that we can take the payment, thank you, keep our accounts and answer any question about the gift. Card and bank details go straight to our payment provider; we never see or store your full card number.
- When you add Gift Aid: your home address and your declaration, because HM Revenue and Customs requires them for every claim.
- When you book an event: the details of each person attending and anything you tell us about access or dietary needs, so that we can run the event safely.
- When you enrol on a course, or enrol your child: the learner's details, a parent or guardian's contact details where the learner is a child, attendance and progress, so that we can teach, keep learners safe and report to you.
- When you volunteer: your contact details, your availability, your skills and, where a role requires it, the checks we must carry out.
- When you fill in a form on this website: the answers you give, used only for the purpose the form describes.
- When you comment on or react to an article: your name and what you wrote.
- When you ask to hear from us: your email address and your preferences. You can stop at any time using the link in every email.
Our reasons for using it
The law asks us to have a reason for each use of your information. Ours are these.
- Your consent, for news we send you and for optional cookies. You can withdraw it at any time.
- A contract with you, when you book, enrol or buy something from us.
- A legal duty, such as keeping financial records, Gift Aid records and keeping people safe.
- Our legitimate interests in running our organisation well: thanking supporters, understanding what our work achieves and preventing fraud, where that does not outweigh your own interests.
Who we share it with
We do not sell your information. We share it only with the organisations that help us do our work, under agreements that require them to protect it.
- Port60 Ltd, which provides this website and the systems we use to look after supporters.
- Our payment providers, which process card and bank payments.
- Our email delivery provider, which sends the messages you ask for and those we need to send you.
- HM Revenue and Customs, for Gift Aid claims.
- Regulators, auditors or the police, where the law requires it.
Some of these organisations may handle information outside the United Kingdom. Where they do, it is protected by safeguards the law recognises.
How long we keep it
We keep information only for as long as we need it for the reason we collected it, or for as long as the law requires. Records of donations and Gift Aid declarations are kept for at least six years after the last gift they cover, because tax and accounting law requires it. You can ask us to delete information we no longer need.
Cookies
This website uses a small number of cookies. The essential ones keep the site working; the optional ones are used only if you agree. Our cookie page lists each one, and you can change your choice at any time.
Children
We do not knowingly collect information from a child without the involvement of a parent or guardian.
Your rights
You can ask us to:
- show you the information we hold about you;
- correct anything that is wrong;
- delete your information, or stop using it, where the law allows;
- give you a copy in a form you can take elsewhere;
- stop sending you news, at any time.
To use any of these rights, write to us through the contact details on this website. We will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
When we change this policy we publish the new version on this page and change the date at the top. If a change matters to how we use your information, we will tell you.
